Patient Billing Guide

Madison Women’s Health is committed to providing clear and timely billing information for services we provide.  To ensure that this process works smoothly, we will request information regarding your insurance(s) and prompt payment of any cost-sharing (copays, deductibles, coinsurance) that may be required once the claim is filed. If you do not have insurance, or choose to ‘self-pay’ for services, you must speak with our Billing Department before your visit.  See Self Pay Patients below.

Billing Process

Madison Women’s Health utilizes a third party company, athenaHealth Advisory Services, for our patient billing (clinical and appointment management is handled through Epic).  AthenaHealth submits claims to your insurance company, if applicable, and also balance bills you, on our behalf, for any cost-sharing that remains your responsibility.  AthenaHealth has easy-to-read statements with several options to pay.  We prefer to send statements via email, however, if you want to receive these by regular mail, please let us know.  We also strongly encourage you to utilize our clinic payment portal that is sponsored by athenaHealth;  that portal can be accessed at:

You can also click on Pay My Bill on our home page to access this portal.  Using the portal gives you access to your statements, billing information, allows you to send messages to our Billing team and make payments.

Note:  Prior to June 1, 2026, we utilized a company called AdvancedMD for our billing.  For a short period, you may continue to get billing statements for visits prior to June 1 from AdvancedMD; their payment portal will still be available through the end of 2026.

Important:  We do not use Epic MyChart for billing, however you may get bills from UnityPoint Health-Meriter or other healthcare organizations that utilize Epic through MyChart for the hospital portion of services we provide at the hospital.  At Madison Women’s Health, MyChart is  used soley for medical records, clinical documentation, appointments, and for messaging your provider and clinical staff.

Lab Billing

Labs you have done in our clinic can be performed at several different locations:

  • Madison Women’s Health
  • Meriter Laboratories (and other associated labs as needed)
  • UW Pathology Laboratories (biopsies, Pap Tests, HPV Test)

For many insurances, you will be billed for labs by Madison Women’s Health.  However, there are a handful of insurance plans where Meriter and/or UW Labs are required to bill the insurance directly.  Examples are Medicare, Medicaid (including Medicaid HMO), United Healthcare/UMR, Anthem BCBS, Humana and CIGNA.  For these insurances, you may receive a separate bill from Meriter and/or UW Labs for their services.  You will need to reach out directly to those labs regarding their bills using the information on their statements.

Billing for cell-free DNA screening (cfDNA or Non-Invasive Prenatal Testing (NIPT)) is coordinated through our testing laboratory, Natera.  Typically, the lab will bill your insurance directly, and in cases where your insurance does not cover the testing, will work with you on discounted pricing for the tests.  You can reach Natera Lab at 844-384-2996.

Obstetric Billing

The billing for pregnancy is generally done at the end of pregnancy in what is called ‘global billing’.  Pregnancy generally consists of around 13 prenatal visits, the delivery and follow-up (postpartum) visits, and one to three (1-3) fees are billed for all these services.  There are certain items that are not included in the global billing and will be billed as they are incurred – ultrasound, labs, non-stress tests and genetic testing/counseling.  If you have questions regarding this, please contact our Billing Department.   Another part of Obstetric Billing are the services you receive at UnityPoint Health-Meriter Hospital (delivery, 20-week anatomy scan, triage visits).  You will be billed separately for those services by Meriter Hospital.  You can contact the Meriter Hospital billing department at 844-849-1260 to get an estimate for your services there.

Self-Pay Care

Patients who do not have insurance can qualify for ‘self-pay discounting’ for services.  We apply a 40% discount from our billed charges for patients who are considered self-pay.  This discounting is not available for patients who have a high-deductible insurance plan or services that are otherwise discounted.

If you are considered self-pay and are not pregnant, you are required to pay $200 at the time of service for each appointment.  You will be balance billed for any remaining cost at our discounted rate.

If you are pregnant and are self-pay, you will need to speak with our Billing Department to setup an Obstetric Self Pay Contract.  This contract will require a $300 payment per visit throughout the pregnancy (or monthly billing to a saved payment method), and then you will be billed the remaining amount either when services are received, or at the end of pregnancy using the global billing rules.

Please contact our Billing Department at 608-729-6341 if you wish to discuss a payment plan.  We have several options as well as coordination with a company called CareCredit for more flexible and longer payment financing.
